Communications Guide

The PTSA helps keep the Clara Barton community stay informed and connected. The following are the communication tools available. All promoted programs and events must be age-appropriate, relevant, and if not a PTSA event, free to participate.

A few things to keep in mind:

 

Bobcat Bulletin

The Bobcat Bulletin is a digital newsletter 2x per month. Distribution is the first and 3rd Sunday of each month. Items should be submitted using the online form here.

  1. Articles are to be submitted by Wednesday at 5:00 PM for publication the following Sunday
  2. If you'd like a thumbnail image included with your article, please email an image in JPEG or PNG format to editor@clarabartonptsa.org and cc communications@clarabartonptsa.org
  3. When submitting your article, include a headline and news content that is short and concise
  4. When appropriate, include an event or deadline date and time of day
  5. A draft of the newsletter will be emailed to you to review and reply with corrections

PTOffice Messenger

PTSA leadership may send email messages to All PTSA Contacts, Groups, or Individuals using our contact management platform, PTOffice. Contact the PTSA Communications VP to request PTOffice Messenger Admin privileges.

  1. Login to PTOffice, select the Messenger module (upper left hamburger menu)
  2. Choose NEW MESSAGE by clicking on the orange button toward the upper right-hand corner of the table
  3. Click on the message type EMAIL
  4. Add a FROM name such as your PTSA title
  5. Choose who you'd like to send your message to by clicking the SELECT RECIPIENTS button and checking off the various groups and contacts you wish to message. Note: Checking the Save as New Group option will create a new Group in the CONTACTS module for your future reference
  6. Add a REPLY TO email address. This is the email address you wish contact responses to go when they click "reply."
  7. Add a SUBJECT that is accurate, but not 'spammy' to avoid going to your contact's SPAM folder. SPAM Tip: Do not include emojis, multiple exclamation points, and overtly promotional language like “Buy now” or “Free.”
  8. Click the ADVANCED EDITOR button to open our drag and drop email creation tool. Otherwise, simply begin typing your message in the text box below.
  9. Once you have finished drafting your message, you can SAVE IT FOR LATERPREVIEW or SEND your message (now or at a later scheduled time) by choosing the options at the bottom.
  10. To send SEND TEST, choose green SEND, select SEND TEST, include your email address, and select SEND located under your email address.

 

LWSD Print Center

Here is the link for info about the LW Print Center Submit a Job: PTSA and Non-Profit - Lake Washington School District (lwsd.org) . Below are the procedures our PTSA has saved.

Procedures for Ordering Copies from LWSD Print Center

Once your materials are ready, contact Teresa Lewis via email at tlewis@lwsd.org. She will need to know the following:

  1. What are you printing? Flyer? Directory? Booklet (what style)?, etc.
    • Always send a .pdf – never send a .doc or .pub or other type of file. You won’t like how the printer changes the layout.
    • What’s the format: double-sided, single-sided, spiral-bound booklet, brochure, stapled booklet, collated and stapled packet, etc.
    • Size: full sheet (8 ½ x 11), legal, poster size, half sheet, quarter sheet, etc.
  2. How many copies do you need?
  3. Any special paper? Heavier weight? Different color?
  4. Do you need other services: cutting (for half sheets or smaller, it’s pretty inexpensive to have them cut it there), collating, stapling, etc.
  5. Deadline – when do you need it? The Print Center is pretty quick but during their busy times, it could take up to two weeks to get your stuff back so please allow enough time to put your order in and get it back in time for your event or whatever you need it for.
