Executive Board

 

President: president@clarabartonptsa.org

  • Conducts Board and General Membership Meetings
  • Makes appointments to Nomination, Financial Review, and Awards committees
  • Attends PTSA council meetings and reports on info about WSPTA and LWPTSA programs
  • Communicates regularly with the school principal
  • Completes the Standards of Affiliation Agreement
  • Serves as an ex-officio member of all committees except Nominating and Financial Committees
  • Facilitates Grants and Teacher Stipends provided to the school
  • 10-25 hours per month

Executive Vice President: vicepresident@clarabartonptsa.org

  • Tracks Board Member training
  • Coordinates LWSF luncheon participation
  • Facilitates LWPTSA auction basket
  • Trains newly-elected Board of Directors in June
  • Oversees Back to School Packet
  • Oversees Bobcat Grant Committee
  • Facilitates Teacher and Staff Grants process
  • 5-10 hours per month

 

Communications Director: communications@clarabartonptsa.org

  • Manages communication channels between PTSA, parents, and staff including website, messenger, monthly newsletter, and Facebook page
  • Oversees communication chairs, providing them with tool access
  • Maintains PTSA calendar of events communicated on the website and monthly newsletter
  • Assigns and updates Office 365 accounts
  • Uses PTSA technology tools to manage and report on communication reach (Membership Toolkit, Facebook Insights, WordPress, Office 365 Admin, Canva)
  • 10 hours per month

Secretary: secretary@clarabartonptsa.org

  • Maintains records and PTSA legal documents
  • Collects agenda items from board members and prepares agenda for board and general membership meetings
  • Takes minutes and records all business transacted at the board and general membership meetings
  • Prepares minutes for approval at next meeting
  • Records attendance at meetings
  • Arranges parent education or town hall speakers for general membership meetings
  • Keeps legal documents notebook up to date
  • Gives notice of executive committee, board, and membership meetings
  • 2-4 hours per month

Treasurer: treasurer@clarabartonptsa.org

  • Leads financial operations of PTSA
  • Keeps a record of all funds received and distributed through the PTSA
  • Prepares a monthly financial report for the board of directors
  • Serves as chair of the budget committee and presents the budget to the membership
  • Works with the executive committee to collect and count money from PTSA events, fundraisers, programs, and activities
  • Ensures tax returns and other state and federal compliance and liability insurance forms are filed
  • Submits records to the financial review committee twice per year
  • 10-25 hours per month

 

Board of Directors

Advocacy Director: advocacy@clarabartonptsa.org

  • Keeps Clara Barton community informed on matters affecting education at local and state levels
  • Oversees emergency preparedness, special needs, sustainability, legislative and pantry pack Chairs
  • 2-4 hours per month

Enrichment Director: enrichment@clarabartonptsa.org

  • Works with President to sign contracts with vendors and set Enrichment Program schedule for the school year
  • Oversees policies and volunteers for before and after school classes 
  • Works with school administration to determine available class space and submit building permits
  • Oversees class registration process, promotion of activities, and volunteer requirements
  • 4-8 hours per month

Before and After School Programming Director: extendedcurriculum@clarabartonptsa.org

  • Works with President to set the extended curriculum calendar for the school year
  • Oversees Extended Curriculum Chairs and their promotion of programs, events, and volunteer requirements
  • Works with school administration to determine available class space and submit building use permits
  • 4-8 hours per month

Family Events Director: events@clarabartonptsa.org

  • Oversees and coordinates family events
  • Works with President and school administration to set family event calendar for the school year
  • Manages Family Event Chairs and provides them with support to promote and host events
  • Approves event expenses within the allotted budget
  • Coordinates with Family Event Chairs to ensure accurate notes, instructions, and financial records are kept
  • 3-4 hours per month

Fundraising Director: fundraising@clarabartonptsa.org

  • Leads campaign efforts to raise funds needed to sustain the annual operating budget
  • Proposes and pursues fundraising opportunities
  • Oversees Bobcat Fund, corporate partners, spirit wear, school pool, fun run, grant writing, and merchant affiliates chairs
  • 3-4 hours per month

Membership Director: membership@clarabartonptsa.org

  • Recruits PTSA members, builds community and drives awareness of PTSA values
  • Oversees Fall membership campaign, and others as appropriate, including campaign goals, promotion, and engagement
  • Oversees FACE (Family & Community Engagement) and Yearbook Chairs
  • Enrolls members in WSPTA web-based system
  • Welcomes new families to CBE
  • 3-5 hours per month

Volunteers Director: volunteers@clarabartonptsa.org

  • Leads recruiting of volunteers and oversees volunteer efforts
  • Creates volunteer flyer for Getting Started with Clara Barton PTSA
  • Oversees room parent, staff appreciation, vision & hearing screening, picture day, and awards committee Chairs
  • Recognizes and thanks committee Chairs and volunteers
  • 4-8 hours per month
